Scope and Purpose

This policy explains AJE College Ltd’s approach to refunds, cancellations, and course transfers for learners who register and pay for our courses. It applies to all paid courses and training delivered directly by AJE College Ltd unless a separate contract or funding agreement specifies otherwise.

General Eligibility for Refunds

Refunds will be considered where one of the following applies:

  • The learner cancels within the cooling-off period (see Cooling-off & Withdrawal below).
  • AJE College cancels a course or materially changes the course delivery before it starts.
  • The learner provides evidence of exceptional circumstances preventing participation (e.g., medical evidence).

Refunds are not automatic; they will be processed following review and approval by AJE College’s administration team in line with the terms below.

Cooling-off & Withdrawal (Distance & Online Learners)

Under UK consumer protection rules, learners who enrol online or by telephone have a 14-calendar-day cooling-off period from the date of enrolment. To cancel within this period and request a full refund, please notify us in writing (see How to Request a Refund below).

Important: If you request a refund after the cooling-off period, or if you have accessed significant course materials or services (e.g., attended classes, downloaded resources, or completed assessments), we may deduct a reasonable proportion of the fee to reflect services already provided.

Cancellation by Learner Before Course Start

If you cancel more than 7 calendar days before the course start date, we will normally offer a full refund, less any non-refundable administration fee stated at point of sale.

If you cancel within 7 calendar days of the course start date, refunds will be at AJE College’s discretion; a partial refund may be offered depending on the timing and course costs incurred.

Cancellation or Withdrawal After Course Start

Once a course has started, refunds are generally not available except in exceptional circumstances (e.g., prolonged illness supported by medical evidence). If you withdraw after the course start date, we may retain the full fee for the module(s) already delivered and may apply a partial refund for any remaining modules not yet delivered.

Cancellation or Changes by AJE College

We will endeavour to run courses as scheduled. However, AJE College may need to cancel or reschedule a course due to low enrolment, tutor unavailability, or unforeseen circumstances. In such cases, we will:

  • Offer an alternative course date or delivery method where possible; or
  • Provide a full refund of fees paid for the affected course; or
  • Offer a transfer to another course of equivalent value.

AJE College will not be liable for additional costs incurred by the learner (travel, accommodation) except where otherwise agreed in writing.

Funded Places & Third-Party Funding

If your course place is funded (wholly or partly) by a third party or government funding stream, refunds and cancellations will be subject to the terms of that funding agreement. In such cases, we may be required to reclaim funding from the learner or the funder. Please contact us for specific guidance if you are funded or sponsored.

Fees, Charges & Deductions

Where a refund is approved, we reserve the right to deduct:

  • Non-refundable administration fees clearly stated at the point of sale;
  • Any costs already incurred in delivering training, materials, or assessments up to the cancellation date;
  • Third-party costs that cannot be recovered (e.g. external examiner or venue fees).

Any refund calculation will be provided in writing to the learner before processing.

Exceptional Circumstances

We may consider refunds outside the above rules in exceptional cases such as serious illness, bereavement, or other compelling reasons. Documentary evidence will be required (for example, a medical certificate). Each request will be reviewed on its merits.

How to Request a Refund or Cancellation

To request a refund or cancel your course place, please follow these steps:

  1. Email finance@ajecollege.com with your full name, course title, enrolment reference, and reason for request.
  2. Attach any supporting evidence (medical note, proof of relocation, etc.).
  3. We will acknowledge your request within 5 working days and advise you of the next steps.

Refunds will be processed to the original payment method where possible. Refunds may take up to 30 working days to appear in your account depending on payment provider and banking processes.

Complaints & Dispute Resolution

If you are unhappy with a refund decision, you should raise a formal complaint through our Complaints Procedure. We will review the complaint and respond in line with our complaints timelines. If you remain dissatisfied, you may refer the matter to the relevant awarding body or seek independent advice.

Chargebacks & Fraud Prevention

If you dispute a card payment with your bank (chargeback), we will investigate in line with our financial controls. Where a chargeback is found to be unjustified, AJE College will reserve the right to recover fees and may suspend provision of services until the dispute is resolved.

Policy Updates

We may amend this policy from time to time. The current version will always be published on our website with the effective date. Material changes affecting current learners will be communicated where reasonably possible.
